Definitions

Committee:  A group of Hance parents formed for a specific PTO activity/fundraiser. Each PTO activity/fundraiser must have a committee.

Committee Members: Members are responsible for brainstorming, planning and carrying out the activity. Activity must first be proposed and approved by the PTO Board. Majority vote determines actions to be taken. Members of this committee report to the Committee chair and/or the Board liaison. 

Board Liaison:  This is a member of the PTO Board that has volunteered and is assigned to this particular committee and serves as the contact for the committee and the committee-chair to the Board. Any and all questions or concerns should be funneled through the Liaison.

Committee Chair:  Heads up the committee for a particular PTO activity/fundraiser.  The chair's vote serves as the tie-breaker if the committee should not have a majority vote on a particular item.  Chair communicates with the Board Liaison.

Volunteer:  Any Hance parent that volunteers his/her time for a PTO sponsored event/fundraiser.  The volunteer contacts the committee chair or responds to a request for volunteers to express his/her interest. Volunteers report to the committee chair for a particular event/fundraiser. Volunteers are to wear name tags identifying themselves as such at the event/fundraiser.

Board Members:  All board members are encouraged to participate in any and all events as a volunteer and parent.  Any inquiries received from other parents or administration should be forwarded to the Hance Pto President, Board Liaison AND committee chair.  PTO Board Members must wear their PTO name tags with title at all functions.

AFTER SCHOOL PROGRAMS
1 Chairperson, Must be an independent Volunteer
Volunteers will complete facility request forms, organize and supervise registration, coordinate with vendors, and assist with beginning and dismissal time of after school programs. AUTHOR’S WORKSHOP (STORY WALK)
1 Chairperson, 1 Committee Member

Volunteer Chairperson(s) will work with volunteers and Hance staff to select an author and plan an assembly and book signing during Author’s week. The author may read a portion of their book, explain a little about the writing process, answer questions and share an intereactive activity with the children.    Click here to ask questions or volunteer!

 

BOOK FAIRS
2 Chairpersons, 3-4 Committee Members, Must be an Independent Volunteer

Volunteer chairperson(s) coordinate two Scholastic book fairs each year, held in the fall and spring, and will coordinate volunteers who help students shop during their library time. Proceeds are used to purchase books for the Hance Elementary Library and teacher classroom libraries. Click here to ask questions or volunteer!

 

DIRECTORY

Volunteers create, edit and proofread the student directory. Information is gathered the 2nd or 3rd week of school via an online district form sent through e-news. Almost all of the work is done at home using Excel. Click here to ask questions or volunteer!

FIELD DAY

Volunteer chairperson(s) work with the physical education teacher and volunteers to plan and set up an outdoor athletic activities event during the month of June. Click here to ask questions or volunteer!

  

FLOWER SALES SPRING & FALL 
1 Chairperson, 2- 4 Committee Members 

Chairperson is responsible for contacting Bakerstown Feed 6 months in advance of sales, (fall and spring sales historically) and coordinating the fall mum and spring Mother's Day basket sales. Setting up the sales order form and taking pre-orders, which close two weeks prior to the event. Chair and committee members need to be pull flowers and tagged for pickup. HOLIDAY SHOP
2 Chairpersons, 3-4 Committee Member

Volunteer Chairperson(s) select and purchase merchandise that will be sold at the Holiday Shop for students to “secretly” purchase holiday gifts for their family members. Volunteers will help with shopping forms, set up and tear down of event, decorations, and assisting shoppers.  Click here to ask questions or volunteer!

 

HOLIDAY STAFF LUNCHEON

Volunteer Chairperson(s) work with volunteers to coordinate a catered holiday luncheon for the teachers and staff at Hance. The chairperson will coordinate the volunteers who offer their help as well as organize the event with the caterer. Click here to ask questions or volunteer!

 

ICE CREAM SOCIAL
1 Chairperson, 5-10 Committee Members
This event is typically the first family event of the year. Families can come, enjoy ice cream and some fun activities at the school. Volunteer Chairperson will be responsible for advertising, selling tickets, coordination of food and entertainment for the event. Event is held in September. KIDS OF STEEL

This program is designed for students to get moving and track miles/activities leading up to the Pittsburgh Marathon in May. Click here to ask questions or volunteer! 

 

PRIMARY PROM FAMILY FUN NIGHT

Famalies can come enjoy some music, crafts and refreshments in a fun atmosphere. Volunteer Chairperson(s) will be responsible for advertising, selling tickets, coordination of food and entertainment for the event. Event is held in October. Click here to ask questions or volunteer! 

 

PIZZA BINGO NIGHT

Volunteer Chairperson(s) will coordinate volunteers, donations for a chinese auction, pizza vendor, bingo prizes, jar guessing game for children, decorations & tables and chairs to be rented. A flyer will be created for the event and posted on the E-Newsletter for parents to print and fill out there pizza order, attendance and money that should be sent in. RAFFLE BASKETS
No time to volunteer?  Are you artistic or can you provide a service or do you have connections in the community?  Please take some time to create a raffle basket to be used at on of our events!  Click here to ask questions or to volunteer!

 

SHOE DONATION PROGRAM

Volunteer chairperson works with funds2orgs.com. Collect 100 bags containing 25 pairs of gently worn, used or new shoes. Stored in clear bags provided by funds2org. Click here to ask questions or to volunteer!

 

SKATING PARTY
Volunteer chairperson(s) will assist with the planning of a skating party, advertise for the event, recruit volunteers and be available the day of the event. The skating party usually takes placed on Martin Luther King Day while kids are out of school. Click here to ask questions or volunteer!

 

STORY WALK
Volunteer chairperson(s) will need to mount laminated books onto posterboard or card board and those will need to be put on display outside. This will need updated at the beginning of the month around the track.

 

SPIRIT APPAREL SALE

Volunteer chairperson works with vendor to create Pine-Richland themed items for sale. Chairperson advertises the sale, distribute and collect order form and gathers and money and disperse items when delivered.  Click here to ask questions or volunteer!

 

 STAFF APPRECIATION SPRING

Each spring, the HPTO sponsors a luncheon for the teachers and staff of Hance. A volunteer chairperson is needed to organize volunteers who will create invitations, decorations and food that is donated by our Hance families. Click here to ask questions or volunteer!

 

THIRD GRADE CARNIVAL

Volunteer chairperson(s) will organize games that each third grade class can enjoy. Set up will be in the soccer field outside. Each game will have prizes to be won. This event is to celebrate the third graders moving up to Eden Hall and typically takes place in the late spring near the end of the school year. Click here to ask questions or volunteer!

 

YEARBOOK
Volunteer Chairperson(s) will work with LifeTouch website to create a yearbook by using pictures that were taken throughout the year. Please make sure that any parents that have requested to not have their pictures taken will be honored in the year book.
